OCR or Optical Character Recognition is also referred to as text recognition or text extraction. Machine-learning based OCR techniques allow you to extract printed or handwritten text from images, such as posters, street signs and product labels, as well as from documents like articles, reports, forms, and invoices. The text is typically extracted as words, text lines, and paragraphs or text blocks, enabling access to digital version of the scanned text. This eliminates or significantly reduces the need for manual data entry. What are we using for OCR? Microsoft's Read OCR engine is composed of multiple advanced machine-learning based models supporting global languages. This allows them to extract printed and handwritten text including mixed languages and writing styles. What data do we check? Each invoice template we receive is mapped to the data we need to check. As the A.I engine improves it will start to find these required data items iteself, identifying the many different ways the data is data, named and where it is positiotioned in the document. Different Accounts may need different information checking, for example UK specific might be VAT number, not required in Spain. Freight bill reference Address VAT number Invoice date Total cost (before VAT) How does OCR invoice check help you? The mapped invoice is read and using the freight bill reference, it is compared on the above data matching. It is also checked for complience, carrier name, logo. Carrier uploads a .pdf invoice The invoice must now have the Freight Bill reference added The invoice is read by the OCR engine and checked against the mapping If the invoice passes, reCONNECT and reporting is updated as currently happens Evening report generated for all approved invoices from the day Invoices are prepared ready for batching If the invoice fails it creates a error for IT to check and will show in reCONNECT as NEW For manual approval / rejection If OCR rejects the invoice, it will inform the carrier of the rejection and provide a reason. Who can use OCR? Anyone that requires an invoice to be checked. OCR invoice approval can be activated in the reCONNECT Invoice configuration The OCR configuration Before OCR can be activated you will need to send all invoice templates from carriers to IT to have them mapped. Once this is done OCR can be activated by switching 'ON' the top button. note: OCR can be activated before mapping. It will simply check and fail each invoice for manual approval but of course it will charge for doing this. The 2nd activation is used depedning on how the Account pays carriers. If this switch is 'NO' we will not check the address. If the switch is 'YES' we will check the address on the invoice matches the format shown in the configuration. To use this function carriers must comply with the address format provided. Questions Invoices have multiple pages, is that an issue? OCR can deal with any number of pages on a single invoice as it is the mapping to the correct data that it is looking for My invoices all look different, how does it read them? Each different format of invoice will need to be mapped. Once it is mapped it is stored and OCR will check against the templates. IT can map a template in a few minutes. How do i know if an invoice didnt work? Any invoice that fails through the OCR process is put into reCONNECT for manual action. The error is checked and fixed by IT. In the image below you can see APPROVED invoices through OCR, NEW invoices where OCR could not read it and REJECTED invoices with a reason for failure. and for the carrier to see the reason How does Invoice A.I reject invoices? ROUTE map functionality VIEWroute is the mapping application for ROUTE View routes and Stops on a map, draw in 'avoid areas' All using LIVE traffic updates and equipment types to make sure the correct route is calculated VIEWroute provides the visibility for Route, showing the calculated route, stops, distance, time and detail. It also enables users to add 'avoid areas' for a day VIEWroute will automatically calculate the best route taking into account the equipment type restrictions, avoid areas, LIVE traffic. It will use the sequence in STOPcontrol to build the route. Re-sequence the Stops and the map will recalculated... Event itself is the platform onto which you can add different products or processes to create a virtual logistics ecosystem. A virtual Bay Management application to enforce process to control your inbound and outbound movements. Specific products will interact with others so as you add them Event will create the connections automatically. So imagine adding applications to your smartphone. As you add them, these applications ask to use certain services the phone itself holds, e.g. location services etc. We call this your virtual Event environment. What are the minimum requirements to use Event? Recommended Browsers 3T Logistics recognizes the diverse Operating Systems, Devices, and Internet browsers our customers are using. While we want every customer to have the best possible experience, we recognize that it is impossible to develop applications that work identically, efficiently, and effectively with all browsers and versions. We also recognize that testing on every browser version and device combination is no longer possible as many new browser versions are deployed on aggressive weekly or bi-weekly schedules. 3T Logistics currently supports the following Web Browsers: Chrome General Workstation Requirements 1024x768 resolution or higher is required for the core products Minimum hardware requirements: Dual Core 1.6GHz or faster with RAM: 1 gigabyte (GB) (32-bit) or 2 GB (64-bit) Event does not support beta versions of Operating Systems or Web Browsers. Label printer recommendation: Zebra GK420t / ZT410 or similar. Label size 6x4 All system requirements are subject to change based on product version. If you are using Direct-to-print labelling you will be required to have Adobe Acrobat Reader installed. Internect connection The better the internet connection you have the better the speed. This becomes more important depending on the services you are using. For example: we use a LIVE service to generate rates and labels for our parcel application. A slow connection will mean the time you wait for a label to print could be 5 seconds or it could be 10 seconds. We test with a 70mbps download speed. We generate labels from a carrier in 6 seconds. How do i buy a product to add to my Event platform? You can download products directly from our Event Products page. Click here Step by step guide, see below... Can you explain how the Event platform works operationally? Event is a platform that in itself does nothing until a user adds Applications to it. Applications from our Event store include DOCK, ROUTE, INFORM. The Event platform controls permissions, new users, user profiles, Accounts... When a user decides to invest in the platform they will be guided through the following process: Select the product that you are interested in from the Event store on 3t-event.com. This will take you to the Event access screen. We cannot login as you have no Event profile yet so you need to select the Create Event Profile. Follow the instructions and create your Event profile. Once successful as you are a new user implementing a new product you will be taken through the setup wizard immediately for that product. During this process, if this is your 1st product you will need to create your companies Account profile. Account creation is at individual site level. So if you have 2 sites in different parts of the country you need to create an Event profile separately for the 2nd site, following from point 1 above. Once you have completed the setup wizard for the application you will be guided through Profile completion and some interactive training for your new Event HOME page. If you want to add another application to your Event platform then you select the product from 3t-Event.com. Login to Event when asked and we will associate the new application to the account you previously created for you so there is no need to add any further Account information. How do i add new users to my Event? First, you need to have a ADMIN or Advanced profile. If you do.... The only way to add users to your Event Account is to use the 'Invite users' function. Click on your profile in the top right corner Select 'Invite a new user' from the dropdown The 'Invite new user' function will show (see image on the right) You can select the product to invite the user to. A user can be invited to several products at once You can add their e-mail address You can add additional users e-mail addresses. This function lets you invite multiple users at once to the same applications Select 'Invite' to send your invites. These 'new' users will immediately receive e-mail notifications and instructions on how to join you in Event. Each time some new joins, we will let you know... Step by step guide, see below... I want to add multiple products. How do i do this? You need to subscribe to each product one at a time. For the 1st product you will add in your Account details to create your Event Account and then follow the setup wizard. After that each additional product you subscribe to the Event assistant will recognise you from your login details and automatically add the product to your account, then you will folllow the wizard again to setup. We recommend that you invite users to your Event environment once you have subscribed to all the products you need as you can invite users in bulk for multiple products rather then individually for each product. I have subscribed to a product i don't want. How do i remove it? Please contact service.desk@3t-europe.com How much does each product cost to use? The Carrier Store is an ecosystem comprised of multiple products and its the interaction between these that create the ability for the store to function. CONNECT MY CARRIERS MARKETPLACE 1 The Carrier Store The carrier store is an ecosystem, comprised of different components to create a valued place to trade. The carriers that work within it will all be rated for the work they do, the services they offer and the quality of the information in their store. This means trusted carriers, that are frequent users in Event and that are signed upto and adhere to the Stores rules and regulations and will be required to sign up to use it. A carrier can join up to The Carrier Store for free. There will be no subscription service. 2 Joined through 3t-event.com A carrier can join The Carrier Store through 3t-event.com. It includes a landing page to explain the benifits and validation process for base information 3 Joined through a customer A carrier can be invited to join by an Account and will receive immediate access to The Carrier Store. 4 CONNECT CONNECT is a carriers direct access into The Carrier Store. From here they can view and control how they interact with the Marketplace. They are also able to manage Account tendered work from the same place. 5 MY CARRIERS MY CARRIERS is the store front for carriers in the Event ecosystem. It is where a carrier can promote themselves and be accessable to customers that use Event. Carriers are required to follow the 3T terms and conditions and become vetted, trusted carrier in the ecosystem. Customers can use MY CARRIERS to add, find or replace carriers they want to use by assessing the quality of their offering. 6 MARKETPLACE MARKETPLACE is the where routes are bought and sold. Carriers can add routes they want help with covering and they can take routes that they want. All routes will need to be actioned through INCAB to provide track and trace and smart contracts for payment. Market place can also be a knowledge and 3rd party apps store, where carriers can get Event, INCAB, information on delivery points or offers for discounts on products. 7 Customers These are the current customers on Event that have an Account. It will also include adhoc customers that will be able to add orders through a dedicated web portal and get a selection of options they can choose from. These could be different carriers offering to do the job, or Event optimisation offering from the network. Customers can also bypass MY CARRIERS and simply work through the Marketplace. 8 Customer interaction with The Carrier Store Customers will use MY CARRIERS to connect or invite carriers to their account. Work from these customers can also be allocated indirectly or directly to the marketplace. Event customers can use the benifits of the MARKETPLACE to get more competative rates, rather than using the tender approach for all or part of there deliveries 9 Account carriers A carrier that has succesfully tendered for an Account, will get an automatic connection to CONNECT. This carrier is then added to the Accounts 'preferred carrier list'. As routes are offered they will be added to CONNECT. This carrier will by default, get access to MARKETPLACE and all it offers. These carriers will be given a specific amount of time to accept a route and this will show in CONNECT. If they sit on it, AMI will move the route to the next available carrier or into MARKETPLACE 10 Carriers to MARKETPLACE A carrier that adds work to MARKETPLACE will be charged upto 1% of the freight cost they accept, for example, a carrier uploads 1 route to MARKETPLACE. It is sold for £450. The cost to use MARKETPLACE was £4.50. If the carrier uploads more that 10 routes for the same day the rate will be reduced for bulk. 11 Carriers from MARKETPLACE A carrier can also take work from MARKETPLACE in the same way as they add it. 12 ADHOC Event users A customer does not have to have to be a full customer of Event. They will be able to join MARKETPLACE at any time, create an account and use a web portal that will allow them to add adhoc orders directly to MARKETPLACE. This jobs will then become visible to all users of MARKETPLACE, carriers and Event customers. Users of MARKETPLACE are the same, carriers or customers and will be charged in the same way. 13 AMI from MARKETPLACE Any work add to MARKETPLACE is available to all MARKETPLACE users no matter and so that means that Event customers can use this work. AMI will optimise individual accounts, then look for other work from MARKETPLACE to fill gaps if possible. This could be groupage from another Event Account cutomer or part loads added by ADHOC or carriers for example. 14 AMI to MARKETPLACE Its not just the carriers and adhoc customers that will use MARKETPLACE, it is also the main Event customers. MARKETPLACE will be governed by strict rules around product types, expectations around using INCAB for all MARKETPLACE work in order to create smart contracts and decisions on when to reduce price, individually market the route or change the date. We put each carrier through a credit check every 6 months and require specific information. We dont allow any carrier in and any not following the Terms of Service are immediately deactivated for the good of the Store 2. I expect there is a membership fee and ongoing cost to use it? There is a nominal cost for setup once in and a small cost for use that enables us to manage the platform 3. What makes you different to a Freight Exchange? The Carrier Store is a digital extenstion to your own fleet. Its about creating trusted groups (a sateliite fleet) that gives you the ability to 'flex', taking on more work when times are good and pushing through your network and taking work out of it when times are not so good or you are just looking for a regular backloads for new work. 3. How do i find the good carriers in the Carrier Store? All carriers in the Carrier Store are good. They all have to pass stringent checks to get be included. Some carriers are 'Verified' by us which means they have exceeded certain additioanl standards. The Event Rating provides our recommendation, over 80 is recommended carrier. 4. Can you help me make the contacts if i have the loads? As part of the Carrier Store is already our own network, we can help with the best fit carriers, all the introductions, the setup and even the ongoing expansion of your own network within ours. Event Lite is simple and intuative. Add a load, offer to a carrier(s), agree a carrier, pay the bill... Order CREATE ORDER 1 This is where you add your shipments / loads Add shipments in Create Order with collection date, delivery date & time, addresses, shipment quantity,special instructions and booking in details. It can also include product information for each shipment. Plan ROUTE 2 This is where the shipment you add in Create Order is allocated to a carrier to deliver In ROUTE, you add your preferred carrier partners from the Event Carrier Store Your shipments / loads are then automatically allocated to these carriers. ROUTE default carrier allocation method is to the cheapest cost carrier in your carrier store Execute MARKETPLACE 3 Marketplace in ROUTE has a Group Send offer function that lets you send the same route offer to multiple carrier partners to review If you use Group Send you can let ROUTE automatically send to all carrier partners that deliver to the region of the load or create your own preferred groups of carrier partners Accept MARKETPLACE 4 This is in ROUTE, you have offered a load and now you need to accept one of the offers You can set ROUTE to automatically accept the cheapest rate you get offered for the highest performance rating, or just decide to manually chose yourself. Once you have accepted an offer, ROUTE will let everyone know your decision Confirm CONNECT 5 This is where your delivery partners will action all parts of the delivery process. As a shipper, you have no access to this application. Carriers will see offers of loads you make to them, accept offers or offer to do it for you Add tracking and PODS and invoice youfor the delivery Analyse INFORM 6 This is where you can live track the delivery status of your loads INFORM also gives you the POD and any delivery images. Give your customers access to Track My Delivery so they can check tracking themselves Setup notifications to warn you of any possible delivery issues Pay reCONNECT 7 This is where you pay the bill for getting your load delivered When you offer the load to a carrier partner, you agree a rate. Once the delivery is made and a Proof of Delivery provided the carrier partner will invoice you. Based on your agreed payment terms, you will pay this invoice and update Event.
